The Receptionist/Legal Assistant’s primary goal is to relieve other team members of vitally important client relations responsibilities, including answering the phones, greeting visitors to the office and managing client documents. Knowing that an attentive and reliable team member is taking care of these tasks allows other teams members to focus on more substantive work.

Responsibilities

The Receptionist/Legal Assistant:

  • Answers incoming calls, using discretion and awareness of other team members’ needs to determine how a call should be handled (i.e., sent to voicemail, sent to a team member, etc.) As the Receptionist/Legal Assistant gains knowledge and experience, he or she will be able answer questions from incoming callers without needing to forward the call to a team member.
  • Greets clients, guests, attorneys and employees when they visit the office.
  • Creates a positive and professional first impression on behalf of the firm.
  • Makes visitors comfortable and offers beverages.
  • Receives mail, deliveries and packages, and directs them to the proper person.
  • Stamps the date received on all incoming mail and processes according to each department’s policies.
  • Performs intake for Potential New Clients (PNCs) who call seeking an attorney, and refers PNCs to other attorneys as necessary.
  • Keeps an eye on inventory levels, anticipating needed supplies and notifying Office Manager
  • Scans and files documents in appropriate client files.
  • Organizes and maintains documents in digital and paper files.
  • Proactive in finding ways to assist other team members.
  • Keeps front office tidy and welcoming.
  • Checks general office email, texts and voicemails and routes appropriately.
  • Manages other email inboxes as requested, sorting and directing emails as appropriate.
  • Collects information from clients and inputs or saves it into its appropriate location.

Qualifications

The ideal candidate:

  • Has proven work experience as a receptionist, administrative assistant, or secretary.
  • Is familiar with office organization and optimization techniques.
  • Exhibits a high degree of multi-tasking and time management capability.
  • Pays close attention to detail.
  • Is self-directed, curious and always seeking to improve.
  • Is driven to find solve problems and find answers without relying on others.
  • Writes and speaks clearly and professionally, with minimal grammatical and spelling errors.
  • Demonstrates a high level of integrity and professionalism.
  • Proactively seeks out ways to make the workplace run more efficiently.
  • Possesses high emotional intelligence.
  • Is a fast learner and a natural note taker.
  • Finds joy in providing support to others and anticipating others’ needs.
  • Is proficient with technology and able to learn new software quickly, especially Microsoft Office.
  • Embraces change in a rapidly growing entrepreneurial firm.

Reporting Relationship

The Receptionist/Legal Assistant reports to the Director of Operations.
